Privacy Policy
1. General provisions
1.1. This Policy describes how the Organizer of the SMARTSNG: GENESIS competition — the International Association of Software Developers (hereinafter — the Operator) — processes and protects the personal data of participants (hereinafter — the Subject).
1.2. The Policy applies to all personal data the Operator receives during registration and participation in the Hackathon through the dashboard and the website.
1.3. By registering in the Hackathon dashboard, the Subject consents to the processing of their personal data under the terms of this Policy.
2. What data we collect
The Operator collects the minimum amount of data needed to run the Hackathon:
- name (and/or alias/nickname);
- email address;
- a contact for communication (e.g. Telegram), if provided;
- participation track and team composition;
- Solution materials uploaded by the participant;
- data needed to deliver a prize (provided by winners only, upon request);
- technical data transmitted automatically while using the website and the dashboard (IP address, device and browser type, cookies).
The Operator does not request special categories of personal data.
3. Processing purposes
The Operator processes personal data to:
- register and identify the participant in the dashboard;
- release tasks, accept and evaluate Solutions;
- communicate with the participant on Hackathon matters;
- tally the results, announce and deliver the prizes;
- cover the Hackathon's results (subject to the rights-to-results section of the Rules);
- keep the website and the dashboard running and secure.
4. Legal grounds and principles
4.1. Processing is based on the Subject's consent given at registration, and is limited to the scope needed to run the Hackathon.
4.2. The Operator processes data in good faith, keeps it accurate, does not use it for purposes incompatible with those listed in section 3, and does not collect excessive data.
5. Sharing with third parties
5.1. The Operator does not sell or share personal data with third parties, except for:
- sharing with a Partner the data needed to deliver a prize to a winner (with the winner's consent);
- using processing services (hosting, mailing, analytics) acting on the Operator's instructions and bound to confidentiality;
- cases expressly required by law.
6. Retention period
6.1. Personal data is stored for as long as needed to achieve the processing purposes, but no longer than 1 year after the corresponding Hackathon edition ends, unless a different period is required by law.
6.2. When the retention period expires or consent is withdrawn, the data is deleted or anonymized, except for data the Operator is legally required to keep.
7. Data protection
7.1. The Operator takes organizational and technical measures to protect personal data from unlawful access, alteration, disclosure, and destruction.
8. Data subject rights
The Subject has the right to:
- receive information about the processing of their data;
- demand correction, blocking, or deletion of inaccurate or unlawfully processed data;
- withdraw their consent to processing at any time;
- appeal the Operator's actions to the competent authority.
Withdrawing consent before the Hackathon ends may make participation impossible if the competition cannot be run for that participant without processing their data.
10. Changes to the policy
10.1. The Operator may update this Policy. The current version is always available on this page. Material changes are communicated to participants through the dashboard.
